Create an external invitation reminder

Increase response rates by reminding members to complete an activity.

  1. Open the activity.
  2. Click Distribute.
  3. Click External Invitations > New > External Reminder.
    Result: The Create New External Invitation Reminder dialog appears.
  4. In the Name field, type an internal name for the reminder.
  5. Select a community from the Assign to a Community list.
    This step applies to customers with multiple communities.
  6. Click Create.
  7. In the Message area, provide a member-facing title and compose the reminder text.
    1. In the Title field, type a member-facing title.
    2. In the Description field, type the reminder text.
  8. In the Select Recipients area, filter the invited participants who will receive this reminder.
    1. Below Invitations, click Add.
    2. In the Open and Pending Invitations dialog, select one or more invitations, and click Apply.
      Note:
      • If you want to select a closed invitation, you must re-open it.
      • Reminders use the activity theme selected at the time each invitation was created. For more information, see Create an external invitation.
    3. Beside Participation Status, click Edit.
    4. In the Participation Status dialog, select one or more participation statuses, and click Apply.
    5. Optional: Click More Filters.
      Tip: Targeting your reminder with a member filter helps boost participation for a specific demographic.
    Example: Reminder Filters

    You add Invitation 1 and Invitation 2, and select Incomplete for Participation Status. The reminder will be sent to members who received Invitation 1 or Invitation 2, and have a status of Incomplete for the activity.

  9. Optional: Schedule the reminder.
    1. In the Schedule tab, click Later and add a schedule to this reminder.
    2. Click the Date field and use the picker to select the distribution date.
    3. Click the Time field and use the picker to select the distribution time.
    4. Click Add.
  10. Send the external invitation reminder.
    1. Click Send Now.
      Result: The Send Now dialog appears.
    2. Click Send to deploy this reminder.
      Result: You can now use the /reminderevents/queuedafter/{dateUtc} endpoint to GET a list of members queued to receive your reminder.
  11. To return to the Distribute page, click Back.
    Result: On the Distribute page, the reminder row is updated with the information you entered, including the:
    • Internal Name for the external invitation reminder
    • Community for which the reminder is targeting
      Note: This appears if you have multiple communities.
    • Status
    • Schedule date
    • Queued count
    • Invited count
  12. View participation and message deliverability statistics.
