Change access settings for Assets Library images

You can use access settings to restrict access to individual images to specific teams, to the user that added the image, or to members of the Admin group.

Access settings provide a way to limit access to specific images. This may be necessary if particular teams are working with proprietary or sensitive images that should not be available to all users. These settings can also be useful as the total number of images in the Assets Library grows, and each team only wants to see the subset of images they use in their surveys.

Important: If you restrict access to a sensitive image using access settings, you must also ensure that surveys that use the image have the same access settings, or more restrictive access settings. If a survey is available to everyone, survey authors with access to the survey will be able to view the image even though they are prevented from accessing it in the Assets Library because of the Assets Library access settings.
  1. In the top right corner, click Product Settings > Assets Library.
    Result: The Assets Library appears.
  2. Select the image you want to change the access settings for.
  3. In the details panel, click the current access setting next to the lock.
  4. In the Access Settings dialog update the settings for the selected image and click Save.

    The access settings you can apply depend on the user role you have been assigned.

    Access Setting User Roles Description
    Everyone Power User, Author All other users in the application instance can access the image.
    Private Power User, Author Only the user that added the image, and Admin users, can access it.
    Admin Only Admin Only Admin users can access the image.
    Teams Admin, Power User, Author All users that belong to the assigned team(s) can access the image. If you belong to multiple teams, you can assign the image to all of the teams you belong to, or just one or more specific teams.
    Note: Admins have access to all images, regardless of access settings.
