Edit the default email footer

The email footer appears at the bottom of all distribution emails. You can change the email footer content to suit your needs.

Note: This task cannot be performed by Author or Analyst users.
  1. Open the Email Footer dialog by doing one of the following:
    • In the navigation bar, click Product Settings > Technical Config.
    • In a distribution email, scroll to the Email Footer area at the bottom of the screen.
      Note: Changes made here apply to all distribution emails.
  2. Click Change Content.
  3. Edit the email footer text.
    Note: The application inserts 15 pixels of padding on each side of the footer. If you require the footer size to match the header image, adjust the footer size in the Source to account for the padding. For example, if the email invitation size is 600 pixels wide, the footer will need to be 570 pixels to account for total of 30 pixels of padding.     Switch back and forth between the normal and HTML view.

    Bold

    Underline

    Apply bold, italicized, or underlined formatting to selected text.

    Insert/Remove Numbered List
    Insert/Remove Bulleted List

    Format your text using numbered or bulleted lists.

    Decrease Indent
    Increase Indent

    Change the size of the indent preceding a line of text.

    Align Left
    Center
    Align Right
    Justify

    Change the alignment of your text.

    Paragraph Format

    Apply heading or normal paragraph formatting.

    Font Name

    Choose a font type. The following fonts are available:

    • Arial
    • Georgia
    • Hand of Sean
    • Helvetica
    • Montserrat
    • Open Sans
    • Raleway
    • Roboto
    • Times New Roman
    • Verdana
    Note: If the community locale is set to an Asian language, the only available font options are Serif and Sans-Serif.

    Font Size

    Choose a font size.

    Text Color

    Choose a text color.

    Link

    Insert a link or turn selected text into a link.

    Click the Link button. In the Link dialog, leave Link Type set to URL. From the Protocol menu, select the link protocol. The default protocol is http://.

    In the URL field, type the link address (for example, yourWebsite.com/privacypolicy.html). Click OK.

    Unlink

    Remove a link. Place your cursor in a link, and click the Unlink button.

    Upload Image

    Insert an image in the message.
    1. Click Upload Image.
    2. In the Upload Image dialog, click Browse.

      Supported formats include:

      • GIF
      • JPG or JPEG
      • PNG
    3. Browse for your image, select it, and click Open.

    You can use images of any width or height. The images retain their original file size when they are uploaded; however, they may appear smaller because of the page's CSS.

  4. Optional: Add or remove variables.

    To add a variable, click Insert Variable and select a value.

    Variables are code phrases that act as placeholders for values. Certain variables are required to comply with anti-spam legislation; these variables are already in the email footer's default text.

    The following table describes the available variables and which ones are required.

    Request Removal Link You are currently subscribed to [%CommunityName%]. To unsubscribe please <a href="[%RequestRemovalLink%]">click here</a>.

    Allows members to unsubscribe from the community. You can edit the default text, but <a href="[%RequestRemovalLink%]"></a> is required.

    Community Name [%CommunityName%] Inserts your community name.
    Support Email [%TechSupportEmail%] Inserts the email address that belongs to your organization, which respondents will use if they require technical support
    Company Name [%CompanyName%] Inserts your company name.
    Company Street Address [%CompanyStreetAddress%] Inserts your company's physical address.
    Support Link [%SupportLink%] Inserts the URL respondents will use if they require technical support, as specified in Settings > Technical Config. If Support Link has not been set, Support Email is used instead.
    Terms and Conditions Link [%TermsConditionsLink%] Inserts the URL for terms and conditions, as specified in Settings > Technical Config.
    Privacy Policy Link [%PrivacyPolicyLink%] Inserts the URL for the privacy policy, as specified in Settings > Technical Config.
  5. Click Save.
    Result: Your changes are saved and will appear in subsequent distribution emails.
