Moderate a video discussion

Join a video discussion session as a moderator.

Prerequisites:

You must be an Admin or Video Discussions User, or a Power User or Author with the Can view the Video Discussion projects and moderate interviews permission to complete this task.

As a moderator joining the session, you can:
  • Join the meeting room directly from the moderator link without needing to be invited in.
  • Join the room in the camera and microphone state you choose.
  • Be seen and heard by everyone in the room.
  • See and hear activity in the room even with camera and microphone turned off.
  • Message other moderators, observers, support, and the translator using the Backroom chat.
  • Message all participants using the Public chat.
  • Message individual participants, observers, or other moderators using the Private Chat feature.
  • Close the room when the session ends.
Note:
  • You can join your live meeting room up to 1 hour before the scheduled start time.
  • The user interface language for Video Discussions depends on your web browser language settings. If your interview will be conducted in a non-English language, you can adjust your browser language to match the interview language setting. Consult the documentation for your web browser to change the language setting.
  1. Join the meeting room.
    • Open the video discussion activity, click the Track Participants tab, and then select the video discussion to join and click Join Room.
    • Click on the moderator link for the video discussion on the Video Discussions Overview page.
  2. After accessing the link, if prompted, enter the email and password associated with your account.
    If you try to use a different email address you will be prompted to create another account or be met with a forbidden access error.
  3. Allow the browser access to your devices by clicking Allow.
  4. In Device Settings, select your audio/video device settings and whether you want to join with your camera and microphone on or off. When settings are selected, click Join Meeting.
    Result: You are automatically joined to the live meeting room. If your camera and microphone are on then anyone who is also joined to the live meeting room (like support, translator, and other moderators) will be able to see and hear you immediately.
  5. Optional: Invite observers into the live meeting room ahead of participants.
    • To invite all observers into the meeting room, click Invite Observers in the top right.
    • To admit individual observers, open the Participants list and click the plus sign next to the observer's name.
    Result: The observers join the meeting room. Any observers who arrive after you clickInvite Observers join the meeting immediately without needing to be admitted.
  6. Invite participants in the waiting room into the live meeting room by opening the Participants list and clicking the plus sign next to the participants's name.
  7. Optional: To remove participants from live meeting room, open the Participants list and click the X icon next to the participants's name, and then select an option.
    • Confirm Dismiss removes the participant from the meeting and sends them to a thank you page.
    • Return to Waiting Room sends the respondent back to the waiting room, so you can re-admit them to the live meeting room later. For example, you may want to speak to each participant individually before beginning the full focus group.
    Note: Observers cannot be returned to the waiting room. They can only be dismissed.
  8. In the meeting room, communicate with participants in the discussion by opening the chat panel.
    • Communicate with everyone in the room using the Public chat.
    • Message other moderators, observers, support and the translator in the Backroom chat.
    • Message a participant, moderator, observer or translator directly or in small groups by starting a Private Chat.
  9. During a recorded meeting, click Save Moment to save a clip of an important point in the session.
    1. In the popup, tag the saved moment with a keyword to help you organize and find the clip later.
    Result: The saved moment is available in the Insights > Recordings page after the session. The saved clip shows fifteen seconds before and fifteen seconds after the button was clicked.
  10. To leave or end the session, click End/Exit in the upper right and choose an option.
    • End for Everyone ends the session for all participants.
    • End for Me removes you from the meeting room, while participants, observers and other moderators remain in the session.
