Export a report to Excel

Export your report data as an XLSX spreadsheet and view the results in Excel. The Excel export presents an overview of the survey results by summarizing each question in a data table.

Prerequisites:

Ensure your report is displaying the appropriate data:

  • The View, Data, and Statistics settings are correct.
  • Any applied filters or subgroups are correct.
  1. Open the standard survey report.
  2. Click the report you want to export.
  3. On the report toolbar, click Export and choose an Excel option:

    Excel (Summary Data)

    The first worksheet in the file is a summary view of the report. Additionally, the Excel file contains worksheets for all Open End, Date, Highlighter, or Number questions, and any questions that have "other - specify" answers. You can view specific verbatim responses on these worksheets.

    The export displays a value of Purged for system variables and survey responses flagged as sensitive data. For more information, see Sensitive data.

    Note: All users can perform this task. For Power Users and Authors who do not have Can access sensitive data enabled, sensitive data is redacted and replaced with Sensitive.
    Excel (Response Data)

    The Excel file includes most of the data that an Excel (Summary Data) export would include. It also contains thumbnails of responses to Image Upload questions. You can view the thumbnails in the Excel file, or click the open hyperlinks to open the original image in a new image preview window. If you have Image Upload questions in your survey, this is the recommended export option.

    Note:
    • To use this export option, you must have Can access sensitive data enabled on your account permissions.
    • This export option does not include Highlighter or MaxDiff data.

The All Active Exports dialog opens and shows your export's progress. You can stay on the page, or navigate away and return to the report to download the completed export later.

  1. To see if exports are ready to download, check for a green dot next to Export on the report toolbar.
    Tip:
    • A blue dot indicates the export is in progress.
    • A red dot indicates the export has failed.
  2. When the download is complete, in the All Active Exports dialog, click Download and then follow your browser's prompts to download and open the file.

If the exported file name is over 256 characters, either rename the folder or file to something shorter or move the file to a folder with a shorter file path.
