Create community engagement rules

Create global engagement rules that exclude members from new invitations based on their recent invitations or participation.

Community engagement rules are one of the tools you can use to ensure you are not overburdening members. For more information, see Sample management.

Note:
  • Only Admins can perform this task.
  • Community engagement rules are not copied over in duplicate invitations or reminders.
  1. In the navigation bar, click Product Settings > Application Settings.
  2. In the Community Engagement Rules area, beside a community, click Create Rule.
  3. Optional: Filter members based on their past survey participation.
    Note: This filter type is based on survey participation only and does not include forums.
    Number Option Description
    1 Member Participation

    Choose Member Participation to filter members based on their past participation.

    Note: An member's participation data is respected by the filters in member groups and the participation rate calculator regardless of whether the activity is excluded from community statistics. For more information, see Exclude an activity from community statistics.
    2 Participation Event

    Select the participation event you want to filter on. Options include:

    • Reserved
    • Invited
    • Incomplete
    • Completed
    • Disqualified
    • Overquota
    3 Operator

    Select the operator for the condition. Options include:

    • Is within last: Members are included in the filter, if they achieved the participation status within the defined time frame.
    • Is not within last: Members are included in the filter, if they did not achieve the participation status within the defined time frame.
    4 Time Frame

    Type a number to define the time frame.

    5 Time Unit

    Select the unit of time. Options include:

    • Hours
    • Days
    • Weeks
    • Months
    • Years
  4. Optional: Toggle between AND or OR to change the condition set from an "and" statement to an "or" statement.
    • An AND set specifies all the participation statuses to exclude.

      For example, in this set of community engagement rules, the first statement excludes members who have been marked Reserved for an activity in the last 2 weeks. The second statement excludes members who have been marked Invited for an activity in the last 2 weeks. AND makes the statements exclude both groups.

    • An OR set specifies that any of the participation statuses will be excluded.

      For example, in this set of community engagement rules, the first statement excludes members who have been marked Completed for an activity within the last 2 weeks, which means anyone with a status other than Completed is still included. The second statement excludes members who have been marked Invited, which means anyone with a status other than Invited is still included. OR makes the statements cancel each other out so that nobody is excluded.

Tip: We recommend you use AND filter statements (for example, exclude members based on Reserved AND Invited participation events).

OR filter statements can lead to contradictory rules. What's more, while it's not possible for a member to be simultaneously invited and reserved for the same activity, it is possible for a member to have an Invited status and a Reserved status for different activities. Therefore, AND rules with conditions for both event types work best to render members with recent participation events ineligible for new invitations.

  1. Optional: To add another condition, click the add button on the right side.
  2. Optional: To delete a condition, click the delete button on the right side.
  3. When you are finished, click Save.
    Result: After you save the community engagement rule settings, the member filters of new invitations will include the community engagement rules by default. Power Users or Author users assigned the Can override community engagement rules permission, and Admins, can choose whether or not to use them when editing the member filter.
  4. Optional: To edit community engagement rules, click Edit Rule beside a community.
  5. Optional: To delete community engagement rules, click Delete Rule beside a community.
