Track participant confirmations and attendance

Use the Track Participants page to view the confirmation status of invited users and to record attendance for your video discussion.

Prerequisites:

You must be an Admin, or a Power User, Author, or Video Discussions User with the Can access sensitive data permission to view participant data.

When the scheduled session begins, you can record the attendance of participants in the Attended column.

Note: If an invited user responds with No to the confirmation, they still have the ability to click the link in the invitation and attempt to join the video discussion at the scheduled time. It is up to the moderator to choose whether they will grant the participant access to the live meeting room from the waiting room.
  1. Open the Surveys app and select your video discussion activity.
  2. On the activity toolbar, click the Track Participants tab.
  3. Select the video discussion to track attendance for from the Select Interview drop-down list.

    • When you select the video discussion, only scheduled participants are listed.
    • Select Not Scheduled to view participants who did not schedule themselves.
    • When you select the video discussion, all participants are listed.
    • View confirmations by checking the participant status in the Confirmation column.

      Possible statuses are Yes, No, or Awaiting which indicates that the user has not responded yet.

  4. To record attendance:
    1. In the Attended column click Present next to each participant who attended the interview.
      A checkmark is displayed on the Present button for each recorded attendee.
    2. Click Save.
    3. In the Save Attendance dialog box, click Confirm.
